User Roles and Permissions

Set user roles to ensure appropriate feature access

HiThrive offers a range of user roles and permissions to help organizations manage platform access efficiently. Below is an overview of each role and the level of access they provide.


1. Administrator

Full platform control & management

  • Access to all platform settings, including integrations and configurations

  • Manage all users and permissions

  • View and export all reports and analytics

  • Set up and modify recognition programs

  • Configure and manage budget allocations

  • Enable or disable platform features

Best for: HR leaders, program owners, and system administrators who need full control over the platform


2. Spot Celebration Sender

Ability to send Spot Celebrations

  • Create your own Spot Celebration in real-time

  • Select and send Spot Celebrations from pre-approved templates

  • Personalize messages while maintaining company-defined settings

  • Select which budget to send from (and request additional funds if budget is inefficient)

  • No access to modify existing templates or budgets

Best for: Managers and team leads responsible for recognizing employees within set parameters


3. Spot Celebration Moderator

Review and approve Spot Celebrations before they are sent

  • Approve or reject Spot Celebration submissions before they are processed

  • Ensure celebrations align with company policies and budget guidelines

  • Create new Occasions templates

Best for: HR team members or department leads responsible for maintaining celebration consistency


4. Challenges Moderator

Manage and oversee company-wide Challenges

  • Create, modify, and monitor Challenges

  • Set participation rules and approve submissions

  • Track engagement and report on Challenge performance

  • No access to broader platform settings outside of Challenges

Best for: Culture and engagement teams managing company-wide initiatives


5. Billing Admin

Manage financial and subscription-related settings

  • View and manage subscription details

  • View redemption reports and history

  • Access billing invoices and payment history

  • No access to employee recognition, celebrations, or reporting settings

Best for: Finance or procurement teams managing platform billing


Choosing the Right Role for Your Team

HiThrive’s permission structure allows for flexibility and control while ensuring users have the right level of access to perform their responsibilities. If you need to adjust permissions or assign new roles, you can do so directly on a user's profile.

You may set roles on a per user basis or give a specific role(s) to an entire segment.
